Does
your organization offer continuing education units (CEUs) or any other type
of educational credits that you need to track and provide documentation for
on an individual attendee basis? Does your staff spend an inordinate amount
of time trying to scale the tedious mountain of paperwork associated with
this effort? The American
Association of Equine Practitioners (AAEP) answered “yes” to both
of these questions. They needed a better way to track continuing education
opportunities at their event and give their members a quick and easy way to
document credits. To

They’re
still out there, and they’re getting even more sophisticated. We in the
event industry call them “pirates.” These
opportunistic organizations are unaffiliated with your group, but solicit
your attendees and exhibitors for hotel reservations, usually with offers of
more attractive room rates, both inside and outside your hotel blocks. They
act as travel agencies or wholesalers, and their promotions are designed to
make your attendees think they are receiving offers from your official
housing company. Char
Shada, CMP, Strategic Account Manager in our “These
companies’ practices and verbiage used with exhibitors and attendees
isn’t illegal, but is shady and deceptive,” Shada says.
“They leave out specific words like ‘official housing
company’ or tell them the conference ran out of rooms or that rooms are
becoming limited, but there are things we can do to help protect you.” If
you think your attendees or exhibitors are or have been contacted by a
pirating organization, contact your Experient account representative who will
help advise you on appropriate courses of action—and help you avoid
attrition penalties from lost rooms. For more information
and measures you can take to avoid piracy, visit http://www.experient-inc.com/solution/publications/meeting_mentor/mm_wint05.pdf If you have a tip

Today’s Green
Tip is actually a question from Anne-Marie McCartan, Executive Director of
the Council of Colleges of Arts and Sciences. “Greetings. Your
e-newsletter said to write you about anything, so I am! Taking an idea
from an article that I saw in a recent events magazine (don’t recall
which), I’m wondering as to how many hotels provide recycling cans
during event breaks. I hate to see all those aluminum cans and plastic
bottles tossed in the trash. And all the paper that is left after the
conference is over – does that usually just get tossed? I
could work with my events manager to ask these questions of the specific
hotels where we are meeting, but what is Experient doing to promote this
green practice industry-wide?” The response is from
Mike Smith, CMP, Strategic Account Manager and Green Subject Matter
Specialist for Experient: Great
questions, Anne-Marie, and thanks for asking! The
number of hotels that provide recycling bins (for aluminum, plastic, paper,
cardboard) as a standard is unknown, ever changing and unfortunately, to
date, not enough. But the pressure of social responsibility and client demand
is driving facilities to respond. Many
facilities have environmental policies in place including recycling. But for
those who don’t, this is a great opportunity for your organization to
make a difference (and hopefully leave a legacy) by working with the
facilities to establish such programs - not just for your event but
permanently. To read more of

S. Tenenbaum and Ellen T. Berge You
might not consider your e-newsletters and marketing emails to be
"spam," but the FTC's regulations stemming from the CAN-SPAM Act
apply to you, nonetheless. The latest regulations issued in May clarify who
must follow the rules (yes, even you), plus how to handle opt-ins, sender
addresses, and joint marketing campaigns. To
